How we use AI tools
Our volunteers use an AI assistant to help run the Group's administration. This page says what it does, what data it handles, and the limits we keep.
What it does
Volunteers at 12th Didcot Scout Group use an AI assistant (Claude, made by Anthropic) to help write and run the software that keeps our administration in order: setting up each term's programme in Online Scout Manager, checking that subs payments are working, and preparing risk assessments and emails to parents.
It helps the small number of adults who run the Group do the paperwork faster, so more of their time goes on the young people.
Who holds the data
The assistant works on our behalf under Anthropic's business terms. Anthropic does not train its models on our data and acts as our data processor, in the same way as Online Scout Manager, GoCardless and Google Workspace. The Group remains responsible for your data.
What we keep to a minimum
Our tools work with membership numbers and counts rather than names wherever possible. Medical, dietary and safeguarding information is never processed by AI tools. Bank details and statements stay on the Group's own computers.
All data comes from Online Scout Manager, which you already use with us. Nothing extra is collected, and nothing is shared with anyone new.
